How Dotworld Technologies & Cizqueue protect data and uphold patient trust.

At Dotworld Technologies Private Limited (creators and operators of the product “Cizqueue,” “we,” “our,” or “us”), we recognize that medical workflows, patient queues, and clinic operations handle sensitive information. We are strictly committed to safeguarding the privacy and confidentiality of clinics, doctors, administrative staff, and patients who interact with our services.

This Privacy Policy details the types of information we collect, how that information is utilized, stored, and protected, as well as the rights and controls available to clinics and individual users. By accessing or using the Cizqueue platform (including our web applications, kiosk displays, mobile token monitors, and calling consoles), you acknowledge and agree to the practices outlined in this policy.

2. Information We Collect

Categories of information collected across clinics, staff, and patients.

We collect only the information necessary to provide efficient queue coordination and clinic management:

A. Clinic & Account Information

When a healthcare facility or solo practice registers on Cizqueue, we collect clinic details (facility name, registration ID, specialty, physical address, business phone number, email), authorized administrator credentials, doctor profiles (name, specialty, room assignments, consultation schedule), and staff user logins.

B. Patient & Queue Operational Data

To generate tokens, notify patients, and track wait times, we process minimal patient identifiers: patient display name or initials, age, gender, mobile phone number (for SMS/WhatsApp queue updates), visit token numbers, appointment timestamps, and consultation status (waiting, in-progress, completed, skipped).

C. Technical, Device & Analytics Information

We automatically log technical data required for security, network diagnostics, and uptime reliability. This includes IP addresses, browser specifications, operating system versions, device display resolutions (for waiting room screens and kiosk mode), error logs, and session activity logs.

3. How We Use Collected Data

Purpose and legal grounds for processing clinic and queue records.

We use your data strictly for legitimate operational and healthcare facilitation purposes, including:

  • Queue Orchestration: Generating live tokens, ordering patient queues, routing calls to specific doctor chambers, and updating digital TV waiting displays.
  • Automated Alerts & Notifications: Transmitting real-time SMS, WhatsApp, and push updates regarding estimated wait times, turn alerts, and appointment confirmations.
  • Clinic Analytics & Reporting: Providing clinic administrators with insights into daily footfall, average consultation durations, peak waiting hours, and doctor productivity.
  • Security & System Integrity: Authenticating clinic staff logins, preventing unauthorized access, monitoring anomalous traffic, and maintaining audit trails.
  • Customer Support & Billing: Assisting clinic staff with technical troubleshooting, processing subscription payments, and generating tax invoices.

4. Health Data Handling & Confidentiality

Zero monetization of health records, minimal data exposure, and doctor-patient privilege.

Core Principle: Neither Dotworld Technologies nor Cizqueue sells, rents, or trades patient personal health data, phone numbers, or clinic records to advertisers, pharmaceutical corporations, or third-party brokers.

Cizqueue acts as a Data Processor on behalf of the registered healthcare facility (the Data Controller). All medical consultation decisions, patient treatment histories, and sensitive clinical records remain exclusively under the ownership and discretion of the healthcare provider. Display monitors in reception rooms can be configured with masked names (e.g., “Token #24 - J. D.”) to safeguard patient privacy in public waiting lounges.

5. Data Security & Storage Architecture

Industry-standard encryption, role-based controls, and high-security infrastructure.

We deploy robust physical, organizational, and technological safeguards designed to protect your information against unauthorized access, alteration, disclosure, or destruction:

End-to-End Encryption

All communications are encrypted in transit using TLS 1.3/HTTPS, and databases employ AES-256 encryption at rest.

Role-Based Access (RBAC)

Strict isolation between doctor consoles, reception desks, clinic managers, and super-administrators.

Redundant Cloud Hosting

High-availability cloud data centers with automated failover, regular backups, and 99.9% target SLA.

Automated Data Retention

Queue logs can be archived or automatically purged per the clinic's custom retention policy.

6. Third-Party Integrations & Sub-Processors

Verified infrastructure partners and communication gateways.

To provide essential functionality such as transactional SMS notifications, email confirmations, and subscription billing, Cizqueue integrates with select, enterprise-grade service providers:

  • Telecom & Messaging Gateways (e.g., MSG91, Twilio): Solely for dispatching queue tokens, delay announcements, and OTP verification codes.
  • Cloud Infrastructure Providers: Managed server infrastructure, Redis in-memory queue pipelines, and secure cloud storage.
  • Payment Gateways: PCI-DSS compliant payment processors for handling subscription transactions. Cizqueue does not store raw payment card data.

7. Your Rights & Clinic Controls

Accessing, updating, exporting, and deleting clinic and patient records.

Clinics and individual users maintain comprehensive control over their operational data:

• Right of Access & Portability: Clinic admins can export queue history, patient logs, and doctor performance reports anytime via the admin dashboard.

• Right of Rectification: Staff can correct inaccurate patient details directly from the reception console.

• Right to Erasure: Clinics may request the complete deletion of their account, staff records, and historical patient logs upon account closure.

• Opt-out of Communications: Patients can opt-out of optional SMS notifications by replying STOP or notifying clinic reception.

8. Cookies & Session Management

Essential authentication tokens and user preference cookies.

We use secure HTTP-only cookies and local storage tokens strictly for essential functionality, such as keeping staff authenticated securely across page sessions, remembering kiosk display preferences, and storing selected UI themes. We do not use intrusive cross-site ad tracking cookies.
